Think twice when emailing

This situation raises questions about how we are handling and sharing personal and sensitive data in emails.

Last week, I wrote an email to my manager in which I shared quite personal and sensitive information. We had previously agreed that it was okay to forward this on to the person in Human Resources who is in charge of personnel matters. However, when the email was forwarded, additional people were copied in. I feel quite exposed and let down. Now it is like "everyone" knows about my problem.

  • What should you consider when putting people on copy?
  • Are there situations when email is not the best tool to use?

 

Things to consider

 

  • Only use the copy function and only forward emails when it is needed. Be particularly careful if the email contains personal or other sensitive data.
  • Make sure to delete the emails that you no longer need.
  • Do not send or share personal or other sensitive information without ensuring that communication is safe and not shared with unauthorized persons.
  • If Skanska has a system for managing your case use this instead of email.
